Booking, Cancellation and Refund Policy and Procedure – Formal Learning Groups
Please note that once you have booked a school visit with us it means that we have reserved time in our schedule exclusively for you.
Making your booking
To book a learning visit to the Museum for a self-led gallery visit or taught session, please complete our Booking Enquiry form.
All organisations are required to complete and return a booking form. Your proposed date of visit remains provisional until the completed form is received. If we do not receive this form within 14 days of your enquiry, the charity reserves the right to release the date to be used by another organisation.
If your organisation issues purchase orders, this should be returned with the booking form.
Paying for your visit
Organisations must provide payment for learning sessions on receipt of an invoice raised by our accounts department. Our payment terms are 30 days.
On receipt of your payment your booking will be treated as confirmed.
If we have not received your payment as per the terms above we will treat your booking as provisional and release the date to be used by another organisation.
BACS payments are accepted, and the bank details can be found on your invoice. Please use your invoice number to identify the payment and issue us with a Remittance Advice.
All Prices are excluding VAT.
Changing your booking
You may change your confirmed booking up to 14 days before your visit at the discretion of the Museum. NOTE this does not include changing the date of your booking,
You may increase numbers provided places are still available.
You may change the workshop chosen. But please note this may result in additional charges if the new workshop is of a higher cost. All changes are subject to the resources available.

We will send a revised confirmation email and invoice showing the new amount due.
No changes are permitted on the date of your visit.
Cancelling your booking
If you wish to cancel a session, regardless of whether it is self-led or a workshop session, you must do so at least 28 days before the date of the session otherwise we reserve the right to apply a cancellation charge as shown below.
Cancellation Fees:
Within 21 days of the visit – 50% of booking cost retained
Within 14 days of the visit – 75% of booking cost retained
Within 7 days of the visit – 100% of booking cost retained
Cancellations must be sent by email to learning@powell-cottonmuseum.org or made by telephone at 01843 842168.
Amendments by the Museum
On very rare occasions, we may need to cancel activities due to unforeseen circumstances. If this happens we will contact schools as soon as we can, and offer alternatives where possible. If schools have already paid and cannot take up our suggested alternatives, we will give a full refund.
While we endeavour to keep all galleries open to accommodate your needs, we regret that it may be necessary, to close specific areas of the Museum in the interests of security and public safety at any time and without prior notice.
Cancellation by the Museum
If we have to cancel a booked session, we’ll give you 14 days’ prior written notice where we can. However, we regret that occasionally we may have to cancel or change the time or date of a booked session on less than 14 days’ notice.
If prior written notice of cancellation is given to you at least 14 days before the date of the booked session, and if you elect not to take the option of a replacement, alternative session, we’ll refund the whole or any part of the fee paid by you prior to cancellation, but we cannot reimburse your travel and other costs.
If we’re unable to give you 14 days’ prior notice of a cancellation or change to the time or date of a booked session, we’ll give notice as soon as we reasonably can.
If we cancelor change the time or date of a booked session without giving you reasonable notice, and you elect not to take the option of a replacement, alternative session, we’ll reimburse the whole or any part of any fee paid for the booked session.
Late Arrivals
Please ensure your travel arrangements allow you to arrive at the Powell-Cotton Museum in good time for any charged activities.
Activities are scheduled for specific times, and if a school is late we may need to adjust or cancel the activities they have booked.
Schools who are running late should contact the Learning Team by calling 01843 842168 EXT205.
The Learning Team will try to accommodate lateness but this may not be possible and schools remain liable for the cost if they miss a charged-for activity.

Designed for school groups, each session uses our collections to support classroom learning through discussion, hands-on activities, and enquiry-based exploration.
KS1 & 2
Have you ever wondered what a Museum Curator does?
Learn how to investigate and read objects by looking closely, asking questions, and making deductions using objects from the Museum’s collection which includes textiles, musical instruments, and world culture items.

KS1 & 2
Explore the Museum’s animal dioramas. See different habitats that Percy experienced and spot some of the incredible animals that he encountered. This session focuses on adaptation, food chains, and habitats.

This is an interactive storytelling session where your group uses objects, drawings, and clues to find out about the real-life travels of Percy Powell-Cotton. Become a detective and use the objects and clues to decide what you think happened when Percy met a lion. Then listen to Percy’s account to see if you were right.

KS1 & 2
Drawing from Nature brings Art and Science together by looking closely and drawing our collection of animal skulls and bird taxidermy. It’s a fascinating way to compare animals and look at their teeth. This session works well with Museum Safari.

KS1 to 4
In this hands-on workshop, learn about the traditional printing techniques of the Adinkra people from Ghana West Africa and the symbols used in their designs. Explore the basics of printmaking using traditional Adinkra Symbols and learn what they represent to create and block print cloth to hang up in the classroom.

KS1 to 4
In this hands-on workshop, learn about the ceramic artist Mbitim, the Zande (South Sudanese) Potter. Discover how he made beautifully designed coil pots with tools he found in his surroundings. Children will learn how to use clay and tools to produce original work in the style of Mbitim.

Here you’ll find practical information on pricing, group sizes, booking and cancellation, lunch arrangements, risk assessments, and how to prepare for your visit. If you can’t find what you’re looking for, our Learning team will be happy to help.
Schools visits to the museum are priced between £4.50 and £9.00 + VAT per student depending on the activity.
A minimum charge of £100 applies to workshops for groups with fewer than 15 students
We can welcome up to 70 children per day.
If your group has more than 30 pupils, you’ll need to book at least two workshops.
For groups under 10 pupils, a minimum charge of £100 applies. If you’re bringing a smaller group due to additional needs, please contact us to discuss pricing.
Supervision ratios:
1:4 for Reception
1:6 for KS1
1:8 for KS2
1:10 for KS3
Please note: these ratios do not cover one-to-one support, and at least two adults must accompany every group.
All workshops are delivered by our experienced Learning Team. However, group behaviour remains the responsibility of visiting staff, who must supervise pupils at all times.

We are happy for you to pop in for a familiarisation visit between 10:00 am-15:00 pm.

We are happy for schools to bring a picnic and enjoy the lawns to the back of the museum. If requested in advance, we can provisionally book our function room as a back up plan for wet weather, however taking lunch outdoors will be the preferred plan.

We are happy to discuss and amend risk assessments with teachers to ensure a safe and well-planned visit.
We understand that plans can change. If your group size changes after booking, please let us know as early as possible ideally at least 30 days before your visit. This helps us ensure appropriate staffing, resources, and space.
